Words such as clear, glossy, smooth or slightly yellow are interpreted differently by different people. Before production approval, we convert those words into a retained sample, defined lighting, viewing distance and identified inspection surface.

The reference is labelled with grade, colour, date and approval status. We also agree which marks are unacceptable and which are inherent to the part geometry or process, so operators do not reject acceptable production or pass a recurring defect.
Use photographs as records, not as the only standard
Photographs help locate a defect and preserve discussion history, but cameras and screens alter colour and gloss. Send the physical approved sample where appearance is critical, and use photographs to mark the area and viewing direction.
